BRIAN’S SIMPLE RULES FOR DELETING EMAIL

We’re in the midst of email madness. In fact we’ve gone email crazy. So here are my simple rules for deleting email.

NEVER RUSH TO DELETE ANYTHING.
Sometimes it’s tempting. Especially when your mailbox is over-quota and there’s just so much crap you feel you have to save. The only choice is to buy more space. But when does it end? Skim and delete if it’s a toss-up. You’ll live.

ALPHABETIZING MAKES IT EASIER.
If you line up every email, leave the latest one if they all have the same subject heading as all will often contain the same content trail. Delete the rest.

SEND BIG FILES UP TO THE CLOUD.
Yes Google, Facebook and YouTube are intrusive. But send your attachments to their servers. Picasaweb is a great place to park your photos.

COVER YOUR ASS.
Don’t hesitate to put your questions, comments or concerns in writing. Let it be on someone else’s head. Then save it. Play it safe. If it can come back to bite you keep it.

KEEP YOUR ENEMIES CLOSE.
See above. Don’t delete anything and always respond to an email. Never be the one to have let a conversation die without answering a question.

TRY NOT TO GO OVER QUOTA.
You’ll find a few hours or even a few days will go by without receiving any email. Buy some more space if you have to but delete, delete, delete.

DELETE AS YOU GO.
Read it and get rid of it. Think about it. You don’t keep a recording of every conversation in your head do you?

MAINTAIN A FOLDER SYSTEM FOR THE IMPORTANT STUFF.
I have one folder for each person that I’ve ever done business with and have never deleted an email from them. I even have one folder called “Weasels”. It’s funny to look through that folder now and remember some of the screaming matches I had and for what?

SEND AN OCCASIONAL BLAST TO SEE WHAT EMAIL ADDRESSES ARE DEAD.
That’s pretty self-explanatory. About 10 percent of the email addresses you have will go bad every month or two. To avoid a box full of MAILER-DAEMON’s send a quick blast to everyone.
